HCYP Baseball Spring 2020 Season Cancellation

HCYP Baseball Families –

It is with great disappointment that we are writing to you today to say that we are officially cancelling the Spring 2020 recreational baseball season. The recent announcement from our state and local officials to keep physical schools closed and kids in the virtual classrooms AND health official guidelines around social distancing have made it impossible to open the fields for baseball.

COVID-19 has had a tremendous impact on our society over the past 7 weeks and that impact reached all non-profit youth sports organizations including HCYP. We are uncertain when youth baseball will resume, but we want to ensure you that HCYP Baseball is in a position to return to play safely and effectively when the time is right. We have many ideas on how to resume and how to try and make up for some of the lost time on the field from the spring, such as summer activities and/or an expanded fall season, but even now the picture is not clear enough to formalize any of those ideas. We are adjusting to new health and safety standards determined by government entities and the economic uncertainties brought about by this crisis.

With the season only days from starting at the time of suspension, most of our expenses for the season had already been incurred. We have sent out a survey to each of the accounts on record for each player with options on the disposition of the 2020 registration fees. We ask that you please consider making a tax deductible donation of your registration fee to HCYP in order to help out those who have been negatively impacted by these unprecedented events. The survey will close on 5/17 at 6:00 PM.

Thank you for your understanding and stay safe! We hope to see everyone on the fields as soon as it is practical.

Important Update on Weather and other Field Notifications

For Spring 2020, HCYP will be using RainedOut as an email based solution. Starting this year, RainedOut moved to a fee based service for text messaging, charging a $7.30 per year annual fee. We tried an alternate text messaging based platform, but after 1 week of use it became clear that this solution is not ready for reliable deployment. After some additional work, it appears that we can make the email solution for RainedOut have almost the same look and feel as the previous SMS based version. The email solution is still free so there will be no requirement to pay the subscription fee for RainedOut.

The first step in the process is to subscribe to RainedOut by clicking the link below and entering your email address. Do not enter your mobile number otherwise it is going to ask you to pay the $7.30 fee. Click here to subscribe. It will send a verification code to you by email that you will then need to enter to complete the registration.

Once you subscribe by email, there are several steps you can take to improve the notification experience. These specific examples assume an iPhone, but setup in Android and other platforms should be similar.

1) Set up the RainedOut email address ([email protected]) as a VIP. You can enable various notification types for VIP addresses, which will cause a message from RainedOut to pop up on your screen just like it would as a text message.

2)  We link RainedOut to our Facebook page. Similar to VIP addresses, you can also configure Facebook notifications to behave similar to a text message.

3) We also link to Twitter. Currently we link to @HCYPbaseball and @HCYPfieldstatus (@HCYPfieldstatus is exclusively used for field status notifications). If you follow @HCYPbaseball or @HCYPfieldstatus, you can set up Twitter to notify you with a banner or pop up whenever anything is tweeted to the feed. AND, you can even set up Twitter to send you an actual text message when there is a tweet to this specific handle.

You can access more detailed instruction on setting up your subscription and linking to Twitter by clicking here.
